Cold Email Deliverability: Landing in the Primary Inbox
You can nail the targeting and write a genuinely good message, and still get nowhere if your emails never reach the inbox. Deliverability is the quiet foundation under every cold-email campaign. Get it wrong and nothing else you do matters; get it right and good copy finally has a chance to work.
Here are the fundamentals that decide whether your message lands in the primary inbox or disappears into spam.
Protect your main domain, send from a separate one
Cold outreach carries reputation risk. If a campaign runs into trouble, you don't want it dragging down the domain you use for billing, support and day-to-day business. The standard practice is to send outbound from dedicated sending domains (often a close variant of your brand) so your primary domain stays insulated.
Treat your primary domain as something to protect, not something to gamble with.
Authenticate: SPF, DKIM and DMARC
Authentication is how mailbox providers confirm you are who you say you are. Without it, you look suspicious before a single word is read. Three records do the heavy lifting:
- SPF tells receiving servers which servers are allowed to send on your behalf.
- DKIM adds a cryptographic signature proving the message wasn't tampered with in transit.
- DMARC ties the two together and tells providers what to do if a message fails the checks.
These aren't optional any more. Major providers increasingly require proper authentication, and missing records are one of the most common reasons legitimate cold email ends up filtered.
Warm up before you scale
A brand-new domain or mailbox that suddenly starts sending hundreds of emails a day looks exactly like a spammer. Reputation is built gradually. Warming up means starting with a low volume and increasing it steadily over a period of weeks, so providers learn that your mail is wanted and engaged with.
Patience here pays off for months afterward. Rushing the ramp is one of the fastest ways to burn a domain.
Engagement is the real currency
Modern spam filtering is driven heavily by how recipients behave. Opens, replies and "not spam" actions are positive signals; deletions without opening, and spam complaints, are strongly negative. Everything that improves genuine engagement also improves deliverability:
- Tight targeting, so you're only reaching relevant people.
- Plain-text, personal messages that prompt replies.
- A clean list with low bounce rates.
- An easy, honest way to opt out, which prevents spam complaints.
Watch the signals and react
Deliverability isn't "set and forget." Reputation drifts, providers change their rules, and a single bad list can undo months of careful work. The teams that stay in the inbox monitor bounce rates, spam-complaint rates and reply rates continuously, and pull back the moment something looks off, rather than discovering the problem weeks later.
